The Records Assistant will, under the general supervision of the Human Resources Manager, be responsible for maintaining all of the EIA’s records. Some of the day to day tasks include: scanning and archiving documents, organizing and maintaining electronic and paper files; ensuring information on the website is accurate and up to date; working with other departments to get records filed according to our policies; preparing and typing a variety of materials including letters, reports, agendas and minutes; reviewing and editing documents for accuracy, completeness, and conformance with established standards; performing special projects; primary backup for the receptionist and other general clerical support duties.

Job Requirements

The ideal candidate will have a High School Diploma or G.E.D. and two years of increasingly responsible experience to successfully perform the essential functions of the job, including but not limited to:

  • Intermediate computer application skills in Microsoft Word, Excel, Outlook and Adobe Acrobat.
  • Knowledge of indexing, filing, and record keeping systems.
  • Strong written and verbal communication skills effectively applied to a diverse group of customers.
  • Proven ability to cope with high volumes of work and a number of concurrent activities, often with competing deadlines and priorities.
  • Ability to establish and maintain effective working relationships and good public relations with other employees, agencies, Members and the public.

Physical Requirements

Physical requirements of this position typically include: sitting for long periods of time, reaching, grasping, kneeling, talking, hearing, seeing, repetitive motions, exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move.

Special Requirements

Possession of a valid State of California Driver’s License issued by the State Department of Motor Vehicles, or the ability to obtain one within the first month of employment. Proof of auto insurance with no exclusion for business use is required.
